Head of Operations reports directly to the CEO
Job Description and Key Responsibilities:

  • Overall management responsibility for Operations (including warehouse, shipping, dispatch, forecasting, inventory, collections and returns, printing company relation), providing of regular and trouble-proof orders and promotions (direct mail) operating cycle in strict accordance with marketing plans
  • Manages forecasting/order processing of supply chain function
  • Coordinates Operations budget process including preparation and presentation within deadlines with clear linkages to the business units and Company strategic plan
  • Participates in the strategic planning process – being an effective member of the executive management team, providing strategic input into decision-making and the long-term sustainability of the business, and looking for continuous improvement across the organization
  • Oversees the day to day processing of fulfillment process – ensuring process always meets or exceeds customer expectations, and developing new support processes/technology etc.
  • Designs efficient business processes, development of circumspect policies and procedures to provide valid operational cycle including Inter-Departments integration and third parties interaction
  • Negotiates and manages the contractual arrangements for services with outsourced suppliers and third parties (including local Post, lettershop, fulfillment provider, IT developer, freight forwarding companies and other business associates)
  • Manages all transition process to outsourced arrangements via other companies
  • Develops and implements the company procurement strategy and implementing effective arrangements, contracts, internal process etc. with suppliers
  • Manages, regularly reviews, and identifies opportunities to enhance relationships and performance outcomes with outsourced suppliers
  • Regular costs review and optimization
  • Investigates innovations in operational – supply chain and production technology / techniques in order to design a roadmap and transition plan/process in order to meet the future needs of the business.
  • Operational KPI’s control and regular review (orders operating cycle, FF cost per order, postage per order, shortage rate etc.)
  • Provides detailed Operations reports with KPI reviews and results according to internal regulations and policies
  • Provides leadership of Operations Department and building a strong team of Operations professionals who are fully competent and accountable in their roles
  • Collaborates with other departments (Marketing, Creative, IT, Assortment, CRM) to fulfill business targets set

Key Requirements to the candidate:

  • Higher professional education
  • Proven successful project management experience in fields of logistic (postal logistic/mail order experience is a plus)
  • Proven people management experience 2 years+
  • Mature personality, self-starter, analytical mind, strong leadership and teamwork skills
  • English, good command (oral and written)
  • Russian is a great plus

Head of Operations should know:

  • laws and regulations, tools for organizing the logistics and delivery operations;
  • market economy, entrepreneurship and basic business;
  • main methods of market research, forecasting, sales analysis, product operations through distance selling;
  • methods and procedures for the development of forecasts of prospective and current plans;
  • principles of Marketing (marketing concept, the basics of marketing management, methods and areas of market research, how to promote products on the market);
  • methods for organization of quality operations;
  • main features, characteristics and consumer properties of goods sold;
  • pricing system;
  • evaluation of the main indicators of the department;
  • procedure for reporting on performance;
  • ethics of business communication;
  • technique making presentations;
  • Methods of processing information using modern means of communication and communication, computer.

 

Head of Operations shall possess:
o Managerial and organizational skills;
o Analytical skills;
o Ability for long-term planning;
o Communication skills
